Manager, Clearance and Pre-Arrival

Responsibilities:
The Manager – Clearance and Pre-Arrival reports to the Director of Central Scheduling and Clearance and manages all daily functions and work processes in the Clearance Pre-Procedure work group. These work roles include receipt of reservations, verification of scheduled patients, obtaining authorization for inpatient/outpatient/observation accounts and scheduling/registering patients for services in collaboration with the Patient Flow Center, acting as the source of contact regarding authorization and coverage for direct admits and transfers. This role works closely in coordination with Central Scheduling Managers to ensure that all accounts are cleared prior to the day of service and investigates denials. This role is responsible for the development of policies, procedures and processes in coordination with Patient Access Leaders to ensure the highest quality of services is provided consistently to all customers.

The organizational scope includes oversight of over 16+ employees engaged in the clearance and pre-registration for pre-procedure processes for the following areas:
  • Abington Hospital – Jefferson Health
  • Abington – Lansdale Hospital – Jefferson Health

Critical responsibilities include the daily operations of these clearance processes and pre-registration for service; ensuring adequately trained staff and implementation of best practices for the timely and accurate registration of patients; timely notification of admission and verification of coverage; providing this pre-/post-arrival work while achieving budgetary and organizational goals; and ensuring compliance with all governmental regulations and other third-party payer requirements.

Essential Functions:
Oversees and is responsible for the successful operation of the Clearance and Pre-Arrival area.
  • Ensures leading practice results, process improvement and optimization to achieve best practices and positively impact net revenue and cash flow performance.
  • Improves consistency and standardization to ensure that processes and workflows are effectively and efficiently handled pre-service or at the time of service.
  • Works closely with the organization’s other key leaders to implement sophisticated systems and processes that will enhance safety, accuracy and the revenue cycle function.
  • Manages timely budget submission and variance monitoring for cost centers with over $620,724 in total expenses. Ensures best practice timeliness, accuracy and service delivery. Interacts with co-workers, visitors and other staff consistent with the iSCORE values of Jefferson.

Qualifications:
  • Bachelor’s degree in healthcare or related field preferred, or an additional 4 years of applicable experience in lieu of degree required.
  • Minimum of 5 years of applicable experience with progressively more responsible supervisory or management experience.
  • Excellent written and verbal communication and interpersonal skills.
  • Time management and organizational skills.
  • Ability to make quality independent decisions.
  • Ability to work effectively and efficiently under tight deadlines, high volumes and multiple interruptions.
  • Ability to maintain the strictest levels of confidentially.
  • Competency in the use of a variety of computer hardware and software systems, such as Excel, phone systems and data warehouse.
  • Knowledge of coding and billing processes within a healthcare setting is required.
